Free car workshop job card template

A one-page A4 job card for car workshops and garages. It covers everything from drop-off to collection: customer and vehicle, complaint, inspection, parts and labour, the customer's approval, status and payment. Print it, or save it as a PDF.

How to fill in each section

A job card only helps if everyone fills it in the same way. Here's what each part is for.

    01

    Customer and vehicle

Write the vehicle number first. It's how most Singapore workshops look up a returning car, and it stops two job cards being opened for the same visit. Note the mileage and fuel level at drop-off so there's no argument at collection.

    02

    Customer's complaint

Write it in the customer's own words, such as "aircon not cold" or "noise when braking". The technician's diagnosis goes under inspection findings, not here. Keeping them apart shows what the customer asked for and what you found.

    03

Existing damage and items in the car

Walk around the car with the customer and note scratches, dents and valuables left inside. This one line saves the most disputes.

    04

    Work, parts and labour

List each part and labour line with its price, and tick "Approved" only when the customer has said yes. Extra work found during the repair goes on a new line with its own approval.

    05

    Approved by, how and when

Record who approved, how (WhatsApp, a call or in person) and when. If a bill is ever questioned, this is what you'll need.

    06

    Status and collection

Tick the status as the job moves so anyone can see where the car is. At collection, record how it was paid and the invoice number, and get the customer's signature.

When paper job cards stop keeping up

Paper works when one person handles a job from start to finish. It gets harder when the front desk needs the card to answer a customer's call while it's sitting in the bay, when approvals happen on WhatsApp and never get written down, or when photos of worn parts stay on a mechanic's phone.

Node Studio's digital job cards hold the same information, plus photos, the customer's approval by link, quotations, invoices and an activity timeline, and everyone in the workshop sees the latest version.

    Frequently asked questions

What is a job card in a car workshop?+

A job card is the record of one repair visit: the customer and vehicle, the complaint, what the technician found, the work and parts approved, who did it, and how it was paid. It travels with the car through the workshop.

What should a car workshop job card include?+

At minimum: customer name and phone, vehicle number, make and model, mileage, the complaint, inspection findings, the work and parts with prices, the customer's approval, the technician, the status, and payment at collection.

Is this job card template free?+

Yes. Print as many copies as you like, or save it as a PDF using your browser's print dialog and choosing "Save as PDF".

When should a workshop move from paper job cards to software?+

When more than one person needs the same job card at once: the front desk answering the customer, the technician in the bay and the owner checking progress. Digital job cards let everyone see the latest status, photos and approvals without finding the paper.
